The challenge
Truvi’s finance team was centralised in name only. In reality, their systems were scattered across multiple platforms, resulting in delays, duplications, and disruptions throughout the business.
Manual approval chaos
Invoice approvals were slow, manual, and endlessly repetitive, and time-sensitive payments, such as legal fees or urgent contractor invoices, were even harder to process quickly.
“We were stuck in a loop constantly chasing people via emails, Slack messages, and even tapping them on the shoulder to get things approved,” says Nathan Humphreys.
Reimbursement delays
Reimbursing international expenses was just as painful. US-based employees were waiting up to two months to be paid back, thanks to a clunky Employer of Record partnership. “That kind of delay is too long for our senior staff who regularly travel for work and typically cover large expenses out of pocket,” says Nathan.
Currency conversion drain
Then there was the cost. With customers and teams spread across the US, UK, Europe, and South Africa, Truvi was losing around 4% on every currency conversion. "We were paying pretty significant fees to collect in certain currencies and then pay into a GBP bank account. That adds up fast," explains Nathan.
After much frustration and many delays, Nathan began seeking a more effective way to manage the company’s finances.
The solution
Using Airwallex, Truvi’s finance team stopped chasing approvals, and started moving faster. With one central platform, invoices flow through a clear, visible process. Approvals happen in real time, with full transparency and a built-in audit trail.
“The chasing is gone. And our AP team gets more credit internally now, because everyone can actually see the value of what they do,” Nathan says.
Controlled autonomy
Airwallex also lets Truvi apply what Nathan calls “controlled autonomy.” Mid-level managers can approve team expenses up to a set limit, with larger payments routed to senior leadership.
“They feel trusted to get on with it, and we’re not blocking up the process for simple approvals,” he says.
From weeks to days
Across the team, the time savings are real. One finance team member recently transitioned to a four-day week – and is still able to manage her old full-time workload, plus more. “That’s purely down to the time she’s saving with Airwallex,” says Nathan.
Reimbursements have also gone from frustrating to fast. For international staff, what used to take eight weeks now takes two days. “Our Head of Sales spent $600 at a conference,” Nathan says. “Two days after she got back, it was in her bank account. That would’ve taken months before.”

With Airwallex Global Accounts, Truvi manages multiple currencies without needing to set up local entities. With local account details in USD, EUR, and GBP, it can get paid without forced conversions or hidden fees.
