Nordhealth cuts global costs by tens of thousands with Airwallex

Nordhealth is a not-so-traditional healthcare SaaS. Established in 2001, the 400-strong global team develop innovative practice management software and APIs that help veterinary and therapy businesses improve care, save time, and grow.

The company’s listing on the Euronext Growth index and industry recognition, including an award from Finland's software sector, place it as the leading healthcare software provider in the Nordics.

It currently serves over 70,000 healthcare professionals worldwide, with an expanding international customer base across Europe and beyond. The mission? To redefine digital healthcare. Nordhealth's finance team was previously stuck managing money the hard way. As the business scaled, every transaction meant navigating a maze of banking systems, fees, and frustratingly slow manual processes.

The challenge

Multiple countries, multiple headaches

Managing employee cards across multiple countries was tedious and disruptive. “Every time someone left, we had to navigate different local banking systems to cancel cards, wait for new ones to be issued and set spending limits,” says Janne Lehtonen. International online purchases were also particularly frustrating, as they were routinely blocked, or flagged for manual review.

Month-end reconciliation nightmare

Even when spend management ran smoothly, reconciling expenses was a dreaded monthly task. The finance team had to wait until after month-end to begin collecting receipts, creating delays and operational bottlenecks.

Fragmented, expensive systems

Banking relationships were also scattered, expensive, and impossibly complex. The company juggled separate accounts across multiple providers to collect customer payments and manage employee expenses.

“With no way to optimise or connect our systems, we found hidden costs stacking up quickly and were often trapped by unfavourable FX rates,” says Janne.

Forecasting the true cost of international operations was virtually impossible, resulting in tens of thousands of euros being wasted annually.

After a major overhaul of its ERP, Nordhealth was ready to find a financial partner that would eliminate the operational chaos of managing payments across multiple countries.

The solution

Proactive expense management

Airwallex enabled Nordhealth's finance team to track expenses instantly instead of with delays. Virtual employee cards integrated with NetSuite's automated bank feeds show transactions immediately, allowing earlier material processing and faster book closing with full operational visibility.

Customers pay on their terms

Airwallex also solved the customer payment puzzle: no need for multiple local bank accounts across different currencies anymore. Global customers can now pay on their terms – using familiar local methods and currencies – while Nordhealth pockets the savings from eliminated conversion fees and transaction costs.

Bill payments without bureaucracy

Airwallex reduced international vendor payments from hours to minutes. Previously, the team had to create complex bank templates with specific formatting for each currency and bank. Now they enter vendor details once, import bills, click pay, and payments process automatically while syncing with NetSuite.

The result

Nordhealth saves over €10,000 annually thanks to Airwallex’s transparent pricing. Janne estimates Nordhealth previously paid tens of thousands of euros in transaction fees. Now they benefit from Airwallex's competitive FX rates with no hidden markups.
